Files and Contacts

A guide to organizing your caregiving documentation

Written by Jennifer Fairchild

The Files and Contacts Module is the best way to keep all your caregiving documentation organized in one place. Store contacts, business organizations, documents, and other attachments, all without having to search multiple places.

Add Files and Contacts

To add Files and Contacts, follow the steps below:

  1. Go to the Files and Contacts Module.

  2. Click the blue plus icon in lower right-hand corner.

  3. Select the Entry type to add.

  4. Enter all important details.

  5. Click Save.

Add a Person

When adding a Person, look for the Search for a Doctor button. It lets you search for a real healthcare provider instead of typing their information in manually. Just select the right one and their details, including specialty and facility, will be filled in automatically.

Organizing with Folders

To group related items together, create a Folder using the same steps above. Once it's created, you can move your files, documents, people, or organizations into it, keeping everything you need organized and easy to find in one place.

Delete a Folder

Deleting a folder deletes everything inside it. If a folder has more than one item, type the folder's name to confirm before it's deleted. If a folder is empty or has only one item, there will be a simple Delete/Cancel prompt before it will be removed.

The typed-name confirmation only applies to folders with 2+ items, this is intentional friction for bigger deletions. The single-item/empty case used to delete with zero confirmation at all; that's since been fixed to show a basic alert first.

Add a Comment

Need more details about an Entry? You can add a comment by clicking the blue chat icon in the bottom right-hand corner of each Entry. Each time a comment is added, the total count on the chat icon will increase. View the picture below, showing a Contact with three comments added.

Search for Files and Contacts

You can quickly filter your notes by type or search for a specific one by name, making it easy to find exactly what you're looking for without scrolling through everything on the main page.

Privacy and Visibility

Everything in Files & Contacts (people, organizations, documents, and files) is shared with your whole Care Hub. Any member can see, edit, or delete an entry, regardless of who added it. There is no way to keep an individual entry private to just you.

Share vs. Download

Share and Download buttons sit next to each other but do different things. Double check which you want before tapping.

Share sends the item inside the app, to your Care Hub. Download opens your device's share sheet, so you can save or send the item outside the app. It doesn't save a copy to your device by itself.

If you're trying to send a file to your Care Hub, use Share. It posts it right into the Care Hub conversation. If you're trying to save or send it somewhere else, use Download.
